Privacy notice

This notice explains what personal information Aqua Jetz collects, why, who it's shared with and the choices you have. Aqua Jetz runs adult swimming lessons in South Ockendon and is responsible for your information. If you have any questions, email adrielo@aquajetz.com.

What we collect

  • When you ask for a quote (the quote form, the contact form or the website assistant): your name, email, phone number, age range, gender, the membership you're interested in and anything you tell us about your goals.
  • When you become a member: your payment details are handled by Stripe, and we never see your full card number. After you set up your account we also ask for your phone number, date of birth, gender, town, postcode, occupation, how you heard about us and your main goal.
  • While you're a member: attendance, session bookings, progress notes, photos or videos Adriel adds to your progress tracker, and any medical documents you upload.
  • How you found us: if you arrive from an advert or a tagged link, the campaign details in that link (for example utm_source or a Facebook click ID).

Why we use it

  • To reply to your enquiry and give you a quote, because you asked us to.
  • To run your membership: taking payment, booking sessions, tracking progress and keeping you safe in the water. This is needed to provide the service you've signed up for.
  • Medical documents are used only so Adriel can teach you safely. They're visible only to you and Adriel, and are never used for marketing or shared with advertising partners.
  • To understand who our lessons suit and improve our adverts: we look at things like age range, gender, area and occupation across our members and enquiries so we can reach people likely to benefit. Where this involves Meta, see below for how it works and how to opt out.

Meta (Facebook and Instagram)

We use the Meta Pixel and Meta's Conversions API to see which of our adverts lead to enquiries and sign-ups, and to show our adverts to people similar to our members. When you enquire, sign up or pay, we may send Meta your email address, phone number, name, gender, date of birth, town, postcode and country. These are scrambled (hashed) before they leave us, so Meta can match them to an account but can't read them. We also send the type of event (for example "enquiry" or "purchase") and details such as your age or age range, gender, occupation, main goal and the membership you chose, so we can build audiences of people similar to our members.

You can opt out at any time. Once you opt out on this browser, nothing more from it is sent to Meta. To stop us sending your details from your account or payments, email us (see below).

To change the tick box on your account, log in and open "My Details" from your dashboard.

Cookies

  • Always on: logging in to the student portal stores a session in your browser so you stay signed in. We also remember the campaign link you arrived from for the length of your visit so your enquiry is credited to the right advert.
  • Advertising: the Meta Pixel sets the _fbp and _fbc cookies. If you opt out, we remember that in a cookie called aj_consent for 12 months.

Who we share it with

We use trusted providers to run the business. They only use your information to provide their service to us:

  • Stripe (payments)
  • Supabase (the student portal database and file storage)
  • Netlify (website hosting)
  • Google (email and our customer records spreadsheet)
  • n8n (the automations that send our emails and update our records)
  • Anthropic (powers the website assistant, which sees what you type into it)
  • Meta (as described above, unless you opt out)
  • VirtueCore (builds and looks after our website and systems)

Some of these providers store information outside the UK, for example in the United States. Where they do, they're covered by UK data transfer safeguards such as the UK-US data bridge or approved contract terms. We never sell your information.

How long we keep it

  • Enquiries that don't become members: up to 2 years after we were last in touch.
  • Member records: for as long as you're a member, then up to 2 years in case you rejoin.
  • Payment records: 6 years, because tax law requires it.
  • Medical documents: deleted within 3 months of your membership ending.

Your rights

You can ask us for a copy of your information, to correct it, to delete it, to stop using it for marketing, or to withdraw consent at any time. Email adrielo@aquajetz.com and we'll reply within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
